2019 Exhibit Layout
This serves as CONTRACT AND AGREEMENT, for the 2019 exhibit spaces February 13 and 14, 2019 between the Police Jury Association of Louisiana, Inc. located in Baton Rouge, Louisiana, referred to herein as “Association” YOUR COMPANY registering for the exhibit space called herein “Exhibitor” consists of the following terms and conditions:
EXHIBIT SPACE INSIDE (Non-Corner)- $600.00
The Association will provide an 8’x10’ suitably draped space located in a non-corner booth furnished with 8’ back drape, 3’ high side dividers, one 8’ black draped table, 2 side chairs, 1 wastebasket and an identification sign 7”x44” with COMPANY INFORMATION as you submit and print below (black letters on white stock, no logo). Sign information will be printed as submitted on this form.
EXHIBIT SPACE INSIDE (Corner)- $750.00
The Association will provide an 8’x10’ suitably draped space located in a corner booth furnished with 8’ back drape, 3’ high side dividers, one 8’ black draped table, 2 side chairs, 1 wastebasket and an identification sign 7”x44” with COMPANY INFORMATION as you submit and print below (black letters on white stock, no logo). Sign information will be printed as submitted on this form.
UTILIZATION OF EXHIBIT SPACE: Exhibitors will be expected to utilize good taste with no patently offensive materials displayed. At its sole discretion, the PJAL reserves the right to revoke an exhibitor’s right to occupy exhibit space. If the PJAL elects to revoke an exhibitor’s right to occupy, the PJAL shall provide a pro-rata refund to the exhibitor.
EXHIBIT SET UP AND DISMANTLING:
Set-up time will be from 9:00 a.m.-12:00 p.m. on Wednesday, February 13. Dismantling of exhibits cannot start until 1:00 p.m. on Thursday, February 14. We encourage you to stay until the end of the exhibit period for a drawing for a free booth at next year’s convention! (Must be present to win.)
EXHIBIT VIEWING HOURS:
Doors open to viewers at 2:00 p.m. for the first time on Wednesday, February 13, 2019. Booths should be manned at that time and remain active (while viewing is open) until closing time on Thursday at 12:00 p.m. On Wednesday, registration will be held INSIDE the exhibit space to encourage more traffic to your booths. On Thursday, beginning at 7:30 a.m., Coffee & Refreshments will be served inside the exhibit hall to encourage more participants to view your booths, as well.
COST:
Inside, non-corner, booths rent for $600.00. Inside corner booths rent for $750.00. Outside space is available for $100. A $100 discount will be honored for companies that purchase 2 or more booths. Exhibitors will receive tickets for all events, name identification cards and two programs for each booth rented.
BOOTH SPACE RESERVATIONS:
Available on a first come first served basis. Your selection will be confirmed upon receipt of contract AND payment. If contract is sent without payment NO BOOTH WILL BE HELD. The Association will in all instances try to avoid side by side placement of competing products or services. If you do not receive follow-up correspondence from Sunny St. Romain, please contact her via email sunny@lpgov.org to ensure receipt of your contract and payment. The Association reserves the right to reject any application for booth space reservation.
INDEMNIFICATION AND INSURANCE:
Exhibitor agrees to be subject to and bound by all the terms and provisions of the lease agreement by and between the Association and the Lake Charles Golden Nugget. The Exhibitor further expressly agrees to indemnify and hold harmless the Police Jury Association of Louisiana, Inc., and its officers, directors, managers, members, employees and agents from any and all claims for injuries, to or the death of , any or all persons whomsoever or damage to, or destruction of, any and all property to whomsoever belonging in any way occasioned by EXHIBITOR’S utilization of the space herein rented to EXHIBITOR, including but not limited to damage to, or destruction of, EXHIBITOR’S goods while in transit to or from said space. NOTWITHSTANDING that said injuries, deaths, damages, destruction were caused or contributed to by the sole or contributing negligence of any one or more of the aforesaid indemnities. EXHIBITOR further expressly agrees to furnish the Police Jury Association of Louisiana, Inc., by no later than thirty (30) days prior to the date on which the space herein rented is to be occupied by EXHIBITOR, multiperil policy in the amount of $1,000,000 or certificate of insurance reflecting such coverage in a form satisfactory to the Association.
CANCELLATIONS:
Exhibit booth cancellations for refunds must be made prior to January 9, 2019.
DEADLINE:
THE DEADLINE FOR BOOTH ACQUISITION AND PAYMENT IS January 9, 2019. NO REFUNDS WILL BE GIVEN DUE TO ACTS OF GOD, WEATHER, OR ANY OTHER CIRCUMSTANCE BEYOND OUR CONTROL. WE WILL NOT BE HELD RESPONSIBLE FOR ANY PORTION OR FULL REFUND IF CANCELLATION IS NOT MADE PRIOR TO JANUARY 9, 2019.
