CONTRACT FOR EXHIBIT SPACE
L’Auberge Lake Charles, LA
February 20, 21 and 22, 2013
 
This CONTRACT AND AGREEMENT, dated the ______ day of ________________ 2012 or 2013 between the Police Jury Association of Louisiana, Inc. located in Baton Rouge, Louisiana, referred to herein as "Association” and ____________________________________ called herein "Exhibitor” consists of the following terms and conditions:
 
EXHIBIT SPACE INSIDE (Non-Corner)- $600.00The Association will provide an 8’x10’ suitably draped space located in a non-corner booth furnished with skirted table, two chairs, waste basket and an expertly lettered identification sign 7”x40” with COMPANY INFORMATION as you submitted and printed below, will be provided (black letters on white stock, no logo). Sign information must be provided when you return this contract form.
 
EXHIBIT SPACE INSIDE (Corner)- $750.00The Association will provide an 8’x10’ suitably draped space located on a corner booth furnished with skirted table, two chairs, waste basket and an expertly lettered identification sign 7”x40” with COMPANY INFORMATION as you submitted and printed below, will be provided (black letters on white stock, no logo). Sign information must be provided when you return this contract form.
 
EXHIBIT SPACE OUTSIDE- $100.00There is space outside the L’Auberge for large equipment (no steel tracks or cleats). This space is available only to those exhibitors who have rented inside space. To assure space, this contract, plus payment in full, must be received no later than January 20, 2013. UTILIZATION OF EXHIBIT SPACE:Exhibitors will be expected to utilize good taste with no patently offensive materials displayed. At its sole discretion, the PJAL reserves the right to revoke an exhibitors right to occupy exhibit space. If the PJAL elects to revoke an exhibitors right to occupy, the PJAL shall provide a pro-rata refund to the exhibitor.
 
EXHIBIT SET UP AND DISMANTLING:Set-up time will be from 8:30 a.m.-2:00 p.m. on Wednesday, February 20th. Dismantling of exhibits cannot start until 1:00 p.m on Thursday, February 21st. We encourage you to stay until the end of the exhibit period for a drawing for a free booth at next year’s convention! (Must be present to win.)
 
EXHIBIT VIEWING HOURS:Doors open to viewers at 2:00 p.m. for the first time on Wednesday, February 20th. Booths should be manned at that time and remain active (while viewing is open) until closing time on Thursday at 1:00 p.m. On Wednesday, registration will be held in close proximity to exhibit booths to encourage more viewers of your booths. On Thursday, beginning at 7:00 a.m., Coffee & Refreshments will be served inside the exhibit hall to encourage more participants to view your booths. COST:Inside, non-corner, booths rent for $600.00. Inside corner booths rent for $750.00. If outside space is needed, it is available for an additional charge of $100.00. Inside space must be purchased if outside space is desired. Exhibitors will receive ticket book for all events, two identification cards and two programs for each booth rented.
 
BOOTH SPACE RESERVATIONS:Available on a first come first served basis. Your selection will be confirmed upon receipt of contract AND payment. If contract is sent without payment NO BOOTH WILL BE HELD. The Association will in all instances try to avoid side by side placement of competing products or services. If you do not receive follow-up correspondence from Sunny St. Romain, please contact her via email sunny@lpgov.org to ensure receipt of your contract and payment. The Association reserves the right to reject any application for booth space reservation.
 
INDEMNIFICATION AND INSURANCE:Exhibitor agrees to be subject to and bound by all of the terms and provisions of the lease agreement by and between the Association and the L’Auberge. The Exhibitor further expressly agrees to indemnify and hold harmless the Police Jury Association of Louisiana, Inc., and its officers, directors, managers, members, employees and agents from any and all claims for injuries, to or the death of , any or all persons whomsoever or damage to, or destruction of, any and all property to whomsoever belonging in any way occasioned by EXHIBITOR’S utilization of the space herein rented to EXHIBITOR, including but not limited to damage to, or destruction of, EXHIBITOR’S goods while in transit to or from said space. NOTWITHSTANDING that said injuries, deaths, damages, destruction were caused or contributed to by the sole or contributing negligence of any one or more of the aforesaid indemnities. EXHIBITOR further expressly agrees to furnish the Police Jury Association of Louisiana, Inc., by not later than thirty (30) days prior to the date on which the space herein rented is to be occupied by EXHIBITOR, multiperil policy in the amount of $500,000 or certificate of insurance reflecting such coverage in a from satisfactory to the Association. CANCELLATIONS:Exhibit booth cancellations for refunds must be made prior to February 1, 2013.
 
DEADLINE:THE DEADLINE FOR BOOTH ACQUISITION AND PAYMENT IS FEBRUARY 1, 2013.
